For experts

Spend less time finding families. More time doing what you love.

KidsRoster is where New York families discover tutors, coaches, teachers, clinicians, enrichment programs and community organizations for their children. You keep your own business. We handle discovery so you can focus on the work.

Ways to participate

KidsRoster is built for how you already work: an independent expert, an organization with its own clients, a licensed practice, or a nonprofit serving the community. You decide which parts you use.

1

Reach new families

For enrichment, instruction, coaching, tutoring, activities and other non-clinical services. Create your presence on KidsRoster and be discovered by New York families searching for experts, classes and programs for their children. There is no upfront cost to apply or to create your profile. Marketplace fees apply only to completed paid bookings made through the KidsRoster marketplace.

2

Manage your own clients

Already have your own families? KidsRoster Business will offer optional tools to keep those relationships in one place: scheduling, registrations and payments, customer management, rosters and attendance, communications and reporting, added as they become available.

Clients you bring yourself stay your own provider-direct relationships, and marketplace fees do not apply to them.

3

Licensed professionals

Licensed clinicians and practices have a dedicated path built for regulated professional services. We verify credentials and apply the appropriate safeguards before anything goes live. Licensed clinical and regulated services carry professional and regulatory requirements that ordinary enrichment services don't, so they participate through a structure suited to that work rather than the standard marketplace model.

Licensed clinical providers are not charged a KidsRoster platform subscription. KidsRoster also takes no percentage of clinical fees.

4

Nonprofit & community organizations

We welcome qualified nonprofit and community organizations offering meaningful opportunities for children and families: genuinely free programs, community resources, and volunteer and service opportunities.

Free opportunities stay free, exactly as families will see them. Nonprofit status alone doesn't make every offering free: if your organization also offers paid programs or services, those follow the appropriate paid-service structure.

5

Use what fits

Eligible providers can use the marketplace, the optional Business tools, or both, with the special paths applied where they belong. One platform to reach new families and to simplify the work of serving the families you already have.

KidsRoster Business is optional and has its own separate terms, which you'll see in full before you activate anything. Nothing here is chosen when you apply. A person reviews your application, and whatever applies to your services is confirmed with you before anything is activated.

There is no cost to apply and no commitment at this stage. This application simply allows us to consider you for the founding KidsRoster roster. Nothing is charged, published or activated by submitting it. If you’re invited to join, we’ll clearly explain the available participation options and any applicable terms before you decide whether to activate your listing or services.

How families find you

Families discover you through search and browse, then message, request or book, depending on how each service is set up.

Built around how you work

Everything about your presence is yours to shape, and you can change it whenever your work changes.

  • Your pricing, shown your way

For each service, show the exact price, a starting price, or “Pricing on request”. For eligible non-clinical services, families can check fit with you in KidsRoster first and you send that family a private price, which they accept and pay on KidsRoster.

  • The formats you actually offer

One-time sessions, recurring sessions, session packages, group classes, courses, camps, workshops and consultations, each with its own price, capacity and schedule.

  • In person, online, or both

Set where each service happens: online, at the family's home, at your location, at another agreed location, or either. Tell families which neighborhoods you serve.

  • Your calendar, your rules

Publish the hours you're open, block the times you're not, sync your own calendar, and manage bookings and reschedules in one place.

  • Step back without starting over

Hide your profile from Browse and search whenever you need. Nothing is deleted, existing bookings and records stay exactly as they are, and you can make it visible again any time.

  • Families reach you on your terms

For eligible non-clinical services, choose what families can do first: ask a question, have a free chat or video intro on a meeting link you provide, or a phone call. Your number, email and links never appear on your public page.

  • Your own clients, kept separate

Share your own registration link, and keep customers, rosters, attendance and records for the families you already have alongside the ones who find you on KidsRoster. Marketplace fees apply only to bookings made through KidsRoster, never to the ones you sell yourself.

  • Show what makes you inclusive

Note wheelchair access and sensory-friendly sessions or environments so the right families can find you.

Private pricing is about discretion, not moving off KidsRoster. Eligible bookings with families who found you here stay on KidsRoster, from the private price through payment. Licensed clinical services follow their own directory rules: families contact the practice directly, and the marketplace messaging, booking and private-pricing tools above don't apply to clinical care.

You stay in control

You set your own services, rates, session lengths and availability, within KidsRoster's marketplace policies, including the cancellation and resolution rules that apply to every booking. KidsRoster does not assign you work and does not direct how you do it.

If you're a licensed clinician, your clinical judgment, scope of practice and licensure obligations remain entirely yours. KidsRoster never directs or overrides clinical decisions.

What we ask, and what happens next

What we ask of you

Real experience working with children in what you offer, an accurate account of your background and qualifications, and the warmth families trust with their kids.

No cost to apply or create your KidsRoster profile. For certain in-person services delivered directly to children, a current background check is required before your first eligible booking. If you already have a recent qualifying check, you may submit it for review. Otherwise, screening can be completed through KidsRoster's third-party screening provider, and the screening cost will be shown before you proceed. Organizations are responsible for ensuring that personnel they assign to work directly with children meet applicable screening requirements, and KidsRoster may request verification of those practices or records.

After you apply

A person reviews your application. If approved, we invite you in and guide you through completing and publishing your profile, services, rates and availability.
